Privacy policy

Who we are

The Gemist Hub (ABN 60 546 912 543) runs a cosmetic tooth-gem and teeth-whitening studio in Sydney and Adelaide, and The Gemist Hub Academy, which teaches tooth-gem application. "We" and "us" in this policy mean The Gemist Hub. We handle personal information in line with the Australian Privacy Principles.

What we collect

• When you book an appointment: your name, email, phone number, the service and time you choose, and any answers you give on the booking form.
• At your appointment: information about your teeth and oral health that we need to decide whether a gem or whitening is safe for you, and your consent to the service.
• When you book an academy call: your name, email, and the answers you gave on our course qualifier.
• When you contact us by email, text, phone or Instagram: whatever you choose to tell us.
• Photos of your smile, only if you agree to them being taken.

The course qualifier and the look finder run in your browser. Your answers are not sent to us unless you go on to book a call, at which point they are passed to Calendly with your booking.

Health information

Information about your oral health is sensitive information. We collect it only with your consent, only when it is needed to provide a service safely, and we use it for nothing else.

How we use it

• To take and manage your booking, and to contact you about it.
• To decide whether a service is suitable for you, and to provide it safely.
• To answer your questions and run academy calls and courses.
• To keep the records we are required to keep.

We never sell your information. We only publish a photo of your smile, or your words, with your permission.

Who else sees it

We use a small number of services to run the business. They handle your information on our behalf:

• Acuity Scheduling (a Squarespace company) for studio bookings. Card payments are processed by Square; we never see your full card details.
• Calendly for academy strategy calls.
• Google Fonts: your browser downloads our typefaces from Google, which sees your IP address.
• YouTube (privacy-enhanced mode): our videos only load from YouTube after you press play.

These providers are based in, or store data in, the United States and other countries outside Australia. We also disclose information where the law requires it.

Cookies and tracking

This site sets no cookies of its own and runs no analytics or advertising trackers. It stores one note in your browser for the length of your visit so the opening animation only plays once. The booking calendar, Calendly and YouTube set their own cookies when you use them, under their own privacy policies.

Marketing

We only send you marketing if you have agreed to it, and every message tells you how to stop. Asking us to stop is always enough.

How long we keep it

We keep appointment and consultation records for at least seven years, then delete them securely. Everything else is kept only as long as we need it.

Seeing, correcting or complaining

You can ask to see the information we hold about you, or ask us to correct it, at any time by emailing info@thegemisthubacademy.com. We will reply within 30 days. If you are unhappy with how we have handled your information, tell us first and we will try to fix it. If we cannot, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes

If we change how we handle your information, we will update this page and the date at the top.
